Organization of events in accordance with the idea of sustainable development

We are well aware that one of the most important challenges of today is environmental protection. We measure the success of our event agency by organizing unique, original events, while at the same time fulfilling the important mission of reducing the harmful impact on the climate and the planet. We want our events to be in line with ESG and sustainable impact goals.

What are ESG events?

One of the latest and most important trends in the so-called meetings industry is the organization of events with a sustainable impact on the environment. Events in the spirit of EGS, due to their attention to promoting pro-environmental behavior, are also known as eco events or green events. These are events that are created using, among other things, solutions aimed at reducing harmful effects on the environment. Engaging in such events allows companies to shape a positive image as socially committed and environmentally conscious, which has a positive impact on how they are perceived by customers and employees.

The acronym ESG comes from the English words: “Environmental”, “Social” and “Corporate Governance” and literally means environment, social responsibility and corporate governance. The term should be understood as an integral part of the approach of modern event agencies, which takes into account both the environmental aspects of event organization and the social responsibility of the meetings industry in all activities and relationships.

What are the goals of sustainable events and how to achieve them effectively?

The purpose of organizing socially responsible and sustainable events in the spirit of ESG is to draw attention to the need to care for the environment. Among the basic principles of organizing sustainable events are those aimed at reducing the carbon footprint. This can be done, for example, by:

  • reducing waste production,
  • The use of recycled materials and recycled products,
  • Encouraging participants to use reusable cups and plates,
  • Creating scenery from reusable materials or live plants,
  • Reuse of equipment and infrastructure,
  • providing materials such as catalogs and brochures to participants electronically, not on paper,
  • Encouraging participants to use public transportation or bicycles to get to the event,
  • providing guests with meals prepared from healthy, natural and regional products purchased from local suppliers,
  • Reducing energy, water, paper and plastic consumption and waste production both during the event and during and after its preparation.
  • Organization of events in environmentally conscious facilities,
  • Reduce the supply chain of products and services by working with local companies,
  • In the case of organizing ESG conferences, team-building meetings or other corporate events, provide participants with attractions that fit into the trend of ecological events, such as excursions to nature reserves, bicycle tours, etc..,

Environmental – events with respect for the environment

Over the past few years, there has been a growing trend toward implementing sustainable practices within concerning the environment and natural resources. There is still a lot of work to be done, but we are pleased to see the trend in both the private area as well as the public and corporate space.

As an event agency operating in the spirit of CSR/ESG, we ourselves strive to introduce sustainable solutions already at the concept and bidding stage. Our clients can also count on us to advise and combine sustainable and functional activities. Depending on the event, its size, location or nature, these can vary greatly, and include, for example:

  • An incentive to use public or mass transit,
  • Using biodegradable or reusable materials,
  • The possibility of waste segregation by participants,
  • devices, installations and practices that encourage and enable reductions in energy and water consumption, including consideration of natural lighting,
  • The use of renewable energy, from photovoltaics to gray water,
  • within catering, betting on short supply chains, rationalizing order volumes and minimizing food waste, including cooperation with food banks and institutions that run eateries and diners,
  • Digitization of advertising, information, training materials, and some gift-packs,

Let’s add that among our, conscious, clients the expectation of the presence of sustainability measures is becoming a standard. So we often don’t talk about whether they should be included, but which ones specifically.

Social Responsibility – events taking into account social responsibility

When undertaking the organization of an event, whether onsite or online, we must not forget to place it in a broader context, which consists of relations with the environment and stakeholders.

>Social Responsibility requires us to lean into such issues as:

  • Ethical and transparent communication about the event, its goals and implications,
  • selection of cooperating companies, sponsors, patrons, media partners, during which it is worth considering the degree of their commitment to the ideas behind ESG,
  • Ensuring appropriate and dignified working conditions for employees and cooperating companies,
  • inclusiveness and the ability to represent diversity, to the extent that it suits the circumstances of the organization and the event,
  • Digital accessibility, which includes, among other things, audiodescription, subtitles, and passageways adapted to people with disabilities.

A good way to introduce a social responsibility factor into organizing events and activities is also to involve local organizations and companies, and – under certain circumstances – volunteerism. Often there is an opportunity to combine these aspects to also do “something good” for the local community on the occasion of the event – for example, to engage in a pro-environmental action. We also remember that the slogans of some events can successfully be used to educate and raise public awareness. Both at the level of the organizer’s employees, guests, participants, as well as local communities or even on a national scale.

Corporate Governance – events, showcasing corporate governance in the company

Corporate governance is a set of rules, processes or customs by which an organization is governed. If it is the organizer of an event, it can use this to promote its practices. This can be done directly, such as by dedicating some part or space of the event for this purpose. It can also be a good idea to promote corporate governance in passing, as it were – after all, it will result in the presence and quality of certain solutions and standards. Such introduction of ESG into the organization of an event or event is a great way to build stakeholder engagement and promote the company’s mission.

As part of introducing or emphasizing quality corporate governance, for example, you can conduct training, lectures, courses and workshops. Clearly show your commitment to procedures based on transparency, inclusiveness, equality, respect for the environment, ethics, good social and labor relations. By demonstrating attention to the needs and values of stakeholders, the company builds relationships with them, increases commitment, attachment, and consequently brand value. It is enough to implement appropriate communication scenarios during the organization and duration of the event to be able to strongly and effectively reach a specific target group with the chosen message. Is it easy? If the communication is to be sincere, transparent and build the desired feedback – not necessarily.
